Cosmo Graphis, the largest document scanning and microfilming bureau in the North West, have been supplying both bureau services and document management solutions throughout the UK for the last 25 years.

During this time we have provided a high quality service to over 500 different companies ranging from multi-national conglomerates to small local enterprises.

From our base in Altricham we process in excess of 100 million images a year for a large number of blue chip companies as well as many North West based NHS trusts.

Below are just a few projects of which we are justifiably proud :-

Office For National Statistics

The Office for National Statistics is the government department that provides statistical and registration services; incorporating the General Register Office for England and Wales. The ONS is responsible for producing economic and social statistics and also for ensuring the registration of all births, marriages and deaths; its central archive is maintained back to 1837. A major part of the Office's function is to provide documentation for public use.

Cosmo Graphis have been a Canon partner for over six years.

Cosmo Graphis worked alongside the ONS to provide a digital solution to the production of genuine certificates from microfilm held at their offices on Merseyside.

1901 Census Release

The release of the 1901 census data in January 2002 was of great interest to historians and genealogists alike resulting in an increase in the amount of information requested from the ONS.

The bespoke CG Gold module combines elements of Computer Aided Retrieval with COLD conversion document reproduction technology.

  • The microfilm scanners are used to locate and scan the original film into CG Gold running on a PC.
  • A bespoke CG Gold module selects the correct zone on the scanned image according to certificate size.
  • The required annotation is entered by the operator.
  • Finally the scanned zone together with annotation are printed directly onto a blank legal document.

TDG Logistics

TDG Logistics, one of Europe's largest logistics companies, chose Cosmo Graphis to provide a document management solution to improve customer service within the UK accounting centre headquarters based in Baguley.

Working alongside TDG's support department, our technicians installed 'Cosmo Graphis Gold' (CG Gold), our document management software, onto the TDG network so that documents could be viewed, printed and emailed throughout the organisation.

Operation

  • Invoices and proof of delivery paperwork are collected by Cosmo Graphis, using its own transport on a daily basis.
  • The documents are transported to their bureau facility on Ocean Street, Altricham where the documents are scanned and indexed by Cosmo Graphis' trained staff.
  • After scanning, indexing and image verification, the images are returned to the TDG offices in a secure format for an immediate update to their main server for immediate access throughout the UK and Ireland
'Staff productivity levels have increased and customer response times are quicker'.

The speed of retrieval was noticed immediately as a major benefit, regardless of the users physical location, returning documents within seconds rather than minutes.

National Health Service

Cosmo Graphis Imaging have had close ties with the NHS throughout the North West since the 1980s. During this time we have microfilmed in excess of 5 million sets of case notes any of which can be located using the Computer Aided Retrieval module of our CG Gold document management within minutes of being requested.

Since the 1990s we have also been scanning medical files for import onto the file servers of major hospitals.

These provide healthcare professionals, with appropriate clearance, immediate access to patient records using our CG Gold document retrieval software.

These images may also be accessed via EPR systems

We are currently scanning and microfilming in excess of 30 million images a year for over 50 NHS trusts across the North of England, providing tailored solutions as required :-

  • One hospital may require us to remove a large volume of case notes and store them until funding becomes available.
  • Whereas some finance departments require a daily collection and return of images to merge into their workflow patterns
